This page says what TrademarkMind collects, why, who else sees it, and how long we keep it. It describes what the site actually does rather than what a template would allow. Last updated 4 October 2026.
Who we are
TrademarkMind is an independent trademark analytics site. It publishes research built on public trademark registers and offers free tools that search those registers. The site runs on servers in Roubaix, France, so everything we store ourselves stays in the European Union. You can reach us through the contact page for any question about this policy, including a request to delete your data.
What you can do without giving us anything
Reading the site needs no account, no email address and no form. Every report, guide and class page is open. You only hand us something when you run a tool, ask for an email, or create an account.
What we collect
- What you type into a tool. The brand name you are checking, the classes you pick, the description of your business, and any question you ask the filing-strategy tool.
- Logos you upload. The image file itself, and the wording our software reads inside it.
- Your email address, but only when you ask for something that needs one: a report by email, a brand watch, or renewal reminders.
- Account details, if you create an account: your email address, your username, and your password stored as a hash we cannot reverse.
- A record of each tool run: which tool, what was searched, the time, your internet address, your browser's identifying string, and your account if you were signed in.
- Site analytics through Google Analytics, which tells us how many people visit which pages.
Why we collect it
Tool inputs exist to produce your result, and to show it to you again when you return to the link. The record of each run is how we keep the site usable for everyone: it is what tells us a single address is hammering an expensive search, and what lets us see which tools are worth improving. Email addresses are used only for the thing you asked for. We do not send marketing email, and we have no newsletter.
Your uploaded logo
A logo you have not filed yet is confidential, and we treat it that way. Uploaded images are stored outside the public part of our server. There is no web address that lists them and no way to reach one without the unguessable link to your own result. Those responses are marked so that search engines never index them and so that no shared cache keeps a copy. The same applies to the copy we keep when you set up a brand watch, which only you can open, through your account or the private link in your email.
The phone app
The TrademarkMind app for iPhone and Android runs the same checks as the website, and everything above applies to it. In addition:
- Signing in. You sign in with your email address and a code we email you, or with Apple or Google. Apple and Google sign-in go through Google's Firebase Authentication, which tells us your email address and nothing else. If you choose Apple's "Hide My Email", we only see the private relay address.
- Notifications. If you allow notifications, the app gives us a device token from Apple or Google (through Firebase Cloud Messaging) so we can alert you about a deadline or a watch. We keep it with the type of phone (iPhone or Android) and the app version, and delete it when you sign out of every device or delete your account.
- Camera and photos. The app opens the camera or your photo library only when you choose to check a logo, and sends only the image you crop. It is stored and deleted like any logo uploaded on the website.
- No tracking. The app has no advertising, no analytics and no tracking across other apps or websites.
- Deleting your account. In the app, open Account and tap Delete my account. Your account, reminders, watches and device tokens are removed at once. You can also ask by email: see how to delete your account.
The Canva app
The TrademarkMind app inside Canva sends us only the image or text you choose to check: a selected image, or the page you choose to export. It never reads anything else in your designs. Canva tells us an anonymous ID for your Canva account, which we use to apply the daily limit and to list your recent checks in the app. Those entries, like the results they point to, are deleted after six months. There is no TrademarkMind account and we receive no name or email address from Canva.
How long we keep things
- Tool results and uploaded logos: six months from the day you ran the check, after which both the result and the file are deleted automatically. If you are signed in, your results stay in your account until you remove them.
- Brand watches: until you stop them, using the link in every email we send you about them.
- The record of tool runs: kept as an operational log. It holds your internet address and what you searched, not your logo.
- Accounts: until you delete yours in the app or ask us to close it.
Who else sees your data
We do not sell anything to anyone, and we run no advertising. A small number of services are involved in making the site work:
- OpenAI receives the brand name, the class names and the list of conflicting marks we found, so it can write the written assessment on a risk report. It does not receive your logo, your email address or your account details.
- Cloudflare sits in front of the site and carries every request to it.
- Google Analytics measures traffic.
- Our email provider delivers the messages you ask for.
- Google Firebase handles Apple and Google sign-in and delivers notifications to the phone app.
- The authorities whose registers we search, meaning the USPTO and WIPO, publish the trademark records shown in your results. Nothing about you is sent to them.
OpenAI, Google and Cloudflare are United States companies, so the data described above reaches servers outside the European Union when those services are used. Everything we hold ourselves stays on our own servers in France.
We will also disclose data where the law requires us to.
Cookies
We set a session cookie so a form you submit is still yours a moment later, and a second cookie that protects those forms from being submitted by another site on your behalf. Both expire quickly. We use no advertising cookies.
Google Analytics sets its own cookies (_ga) to count visits. If you are in the European
Union, the European Economic Area, the United Kingdom or Switzerland, we ask first, and Google's script
does not load until you accept. Your answer is kept in a cookie called tm_consent for
180 days, then we ask again. You can change it at any time with Cookie settings at the bottom of every page.
Your rights
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it, and we will do so. Write to us through the contact page from the address you used, and say what you want removed. A brand watch can be stopped from any email we send about it, without writing to anyone. An account can be closed on request and everything attached to it goes with it.
If you are in the European Union and you think we have handled your data badly, you are entitled to complain to the data protection authority in the country where you live.
Children
The site is a professional tool for people filing trademarks. It is not directed at children and we do not knowingly collect anything from them.
Changes
If this policy changes in a way that affects what we do with your data, the date at the top changes with it and the new version appears here.
